Guidelines for Effective Board Meetings

No matter if your business is an established company or is in starting out board meetings that are effective are crucial to moving the company forward. They require a well-planned agenda, clear and consistent meeting structure and a well-organized deliberation process to produce strong decisions. These guidelines for meetings help ensure that board members can focus on the most important issues and are able to provide their opinions without being distracted by other agenda items or unimportant conversations.

Concentrate on the crucial decisions that the board needs to take and refrain from spending too much time updating. The best method to accomplish this is to start with the key decision-oriented topics at the beginning of the meeting, and ensuring that these discussions consume the majority of the available time.

Create a respectful and collaborative discussion space where all viewpoints are equally considered. This will create a sense of trust and open communication and ensure that all parties are actively engaged in productive discussion. Make sure that the voting process is fair and transparent, and that each member of the board have the same opportunity to participate (see below “Manage Time”).

Foster accountability for the follow-up and implementation of decisions, actions, and recommendations from every board meeting. This can be accomplished through regular progress reporting and clear delegated tasks and systems for tracking the outcomes.

At the beginning or at the conclusion of every board meeting, plan an executive session. This will allow non-executive members to discuss important issues with the management team in a private setting. This will ensure that the Board is in sync with the CEO’s point of view.
